We are looking for an Operations & Process Optimization Manager (m/f/d) in full-time employment for our team in Cologne-Ehrenfeld at the earliest opportunity.
Responsibilities
What this role is really about
This role is not a classic assistant or administration position. You are not there to take work off the team's plate by chasing tasks or managing moods.
Your job is to critically examine our operational workflows, make blockers visible, and improve processes so our team can work faster, more cleanly, and more reliably.
You look at structures, routines, and handovers with a clear eye and ask questions like:
- Why are we doing it this way right now?
- Where does duplicate work, friction, or waiting time occur?
- What information is regularly missing?
- Which tasks can be standardized, automated, or distributed more clearly?
- What needs to change so good work does not depend on individual people?
We are looking for someone who thinks thoroughly, analyzes carefully, and implements pragmatically. Someone who does not just spot problems, but builds solutions – increasingly with AI agents, automations, and digital workflows.
Your responsibilities
- You analyze existing workflows across our retainers, projects, and internal processes and identify inefficiencies, redundancies, unclear responsibilities, and recurring blockers.
- You develop concrete improvements to how we work – for example clearer briefings, better handovers, leaner alignment processes, more binding status logic, or more meaningful QA steps.
- You keep our central project and retainer board up to date and ensure that status, next steps, responsibilities, and deadlines are transparent and reliable.
- You structure requests so they become ready for implementation: clarify missing information, sharpen requirements, demand decisions, and define next steps.
- You recognize early when topics get stuck, scope creep emerges, or responsibilities are unclear – and you make these points visible in a factual way.
- You prepare internal alignment meetings so they lead to decisions and not just to more conversations.
- You actively use AI tools to make recurring work more efficient – for example for meeting notes, summaries, status updates, QA checklists, documentation, or text templates.
- You design and build AI-powered workflows, agents, and automations that digitize internal processes and measurably improve them – for example in reporting, documentation, handovers, status updates, quality checks, or knowledge management.
- You work with tools such as Make.com, Zapier, n8n, Langdock, ChatGPT/Custom GPTs, or comparable solutions – or you bring the ability to get up to speed quickly and systematically in such systems.
- You translate recurring operational problems into clear workflow logic: triggers, inputs, outputs, responsibilities, review steps, and escalations.
- You document working standards so they are usable, understandable, and repeatable for the team.
Qualifications
What you should bring
- Ideally, you have an excellent master's degree or a comparable qualification that shows you can work analytically, in a structured way, and independently.
- You bring at least six months of relevant practical experience in organization, project management, process optimization, operations, consulting, agency work, or a comparable environment – for example through an internship, working student role, trainee program, or first permanent position.
- You think systemically: you are interested not only in whether something gets done, but why it is done in exactly this way – and whether it can be done better.
- You work rationally, thoroughly, and reliably. You recognize patterns, ask precise questions, and bring topics to a clean conclusion.
- You are not afraid to name inefficiencies clearly and demand decisions – factually, respectfully, and with a focus on solutions.
- You are a strong communicator and can prepare information so others quickly understand what it is about and what needs to be done.
- You are fluent in German at a business level and communicate clearly, precisely, and professionally in writing and speech.
- You have excellent English skills, because part of our tools, documentation, and communication is international or in English.
- You are confident using Google Workspace and/or MS Office, especially Docs/Sheets or Word/Excel.
- You have practical experience with AI tools, automations, or workflow builders – for example Make.com, Zapier, n8n, Langdock, ChatGPT/Custom GPTs, or comparable solutions – and can derive concrete process improvements from them.
- You see digital workflows not as a gimmick, but as a tool to standardize recurring work, safeguard quality, and increase operational speed.
Nice to have
- Experience with tools such as Notion, Asana, Jira, ClickUp, or comparable project management systems.
- Experience with low-code/no-code automation, e.g. Make.com, Zapier, n8n, Airtable, Google Apps Script, or simple scripts.
- Experience building AI agents, Custom GPTs, internal assistants, or automated knowledge and QA processes.
- Experience in an agency, consulting firm, e-commerce company, or fast-growing team.
- Basic understanding of Amazon, marketplaces, or digital business models.

Salary: €42,000 to €48,000 per year
